Cause:For first time guide to enable on-site verification for pre-registered visitors in CloudVMS.
Solution:

Pre-requisites / requirements

Supported MicroEngine Software:-

  1. MicroEngine Cloud VMS Synchronization services.
  2. Microsoft Sync Framework 2.1 SDK (x64), which is included in MicroEngine Cloud VMS Sync Services installation package.
  3. ME Mobile Access Application (Available at Google Playstore or Apple Apps Store)

Summary:

You need to ensure the Cloud VMS Sync service is running in order to allow the software database and Cloud VMS database is always synchronized.

Step-by-step Guide:

  • Access Cloud VMS website

Step 1: Open Cloud VMS Website.

Step 2: The Log In window will then be shown. Enter the following default User Name and Password for admin to login. Click Log In.

  • Enable Double Verification for QR Code

Step 1: The CloudVMS web will then be shown. From the drop-down menuon the left panel in Main Page, click Configuration Setting.

Step 2: The Configuration Setting window will be shown. Select Yes to enable the double verification mode for QR code. Click Save to save the setting.

Step 3: Restart the software services in order to allow the changes in Cloud VMS configuration setting to take effect immediately.

  • Add visitor pre-registration record

Step 1: Go to Visitor > Visitor Registration to add visitor pre-registration record.

Step 2: The Visitor Registration window will then be shown. Fill up the Visitor Pre-registration form, then click Submit at the bottom of the page to add the record.

Note

In order to be able to see and select the Host Name in Visitor Registration form, you need to add the staff records using software client first before proceeding with visitor pre-registration in Cloud VMS web.

Step 3: The following Success Message will be shown once the visitor registration is successfully submitted. Click Close to continue.

Step 4: After adding the visitor pre-registration record, users will be directed to Visitor List window.

Note

To open the Visitor List page from the Main Menu, go to Visitor > Visitor List to view the pre-registered visitors.

Step 5: Once the visitor is pre-registered, Cloud VMS will also automatically send a “MicroEngine Visitor Pre-registration Confirmation” email to visitor’s email address as entered in Visitor Registration form.

  • Sign in pre-registered visitor

Step 1: Go to xPortalNet Client > Visitor Still In List and click PRE-REGISTERED VISITOR (F6).

Step 2: By using any QR Code scanner device, scan the Visitor Pre-Registration QR code which was sent to visitor email. The QR code string will be displayed in QR CODE field. Click OK.

Alternatively, you can also scan the QR code inside the Visitor Pre-registration confirmation email to get the QR code string. Copy the QR code string. Then, paste the QR code string into the QR CODE field, then click VERIFY.

Step 3: After verifying the QR code, the Pre-register Visitor Match window will be shown. Confirm that the visitor information matched with the pre-registration record. Click Match.

Step 4: Complete the visitor details in Visitor Information form. Click NEXT to sign the pre-registered visitor in.

Step 5: After successfully signed in the visitor, the visitor will be added to Visitor Still In List.

Step 6: The xPortalNet software will then automatically send “Access Badge Generated” email to visitor after successfully signed in the visitor.

Step 7: The visitor can then scan the Access QR Code provided in “Access Badge Generated” email at the QR Code door access reader. The Valid Entry Access or Valid Exit Access transaction will be recorded in the Latest Event List.

Step 8: After signed in the visitor, user can also print the visitor QR code. In xPortalNet Client, go to Visitor Still In List tab. Select a visitor from the list, then click PRINT QR CODE (F9).
